If you contact us we will only retain your name and details for as long as is necessary for us to deal with your enquiry. We will NOT pass on your details to anyone other than the person (or people) in our church who are best able to deal with your enquiry.

For members and attenders
The personal data we process can include names and contact details, and if relevant, expense payments and bank details.
We collect this information to enable the church to keep in touch with you, provide pastoral support as appropriate, and to reimburse church-related expenses.
Data Protection legislation allows us to process this information as we regard it as being in the church’s legitimate interest.
Your name and contact details will be entered into our church database which is held in the church’s ChurchSuite account and on the church Google Drive which is accessible only by the Minister and Trustees. Your contact details will be removed from the database once you are no longer a member or regular attender of the church, unless you choose to remain as one of our “church friends”.
If you wish, you can also make your contact details available to other church members (or hide them) directly via ChurchSuite, or ask the secretary to do so on your behalf.
To enable us to provide adequate pastoral support to you and your family, one of the Ministers/pastoral team may record information which may be regarded as sensitive. This information will be stored (in password protected documents) on the church Google Drive but the password will only be known by the Ministers/pastoral team. This information will NOT be disclosed to anyone else without your consent.
You should keep us informed of any changes to your information so that we can be confident that the data we hold about you is accurate. You can update your contact details on ChurchSuite directly yourself.
For hirers
The personal data we process can include names and contact details, bookings and payment records.
We collect this information to enable the church to manage your booking of the Hub and associated payments.
Data Protection legislation allows us to process this information as we regard it as being in the church’s legitimate interest.
Your name and contact details and bookings will be entered into our church booking system which is held in the church’s ChurchSuite account, and payments will be recorded in the church’s ExpensePlus account. Invoices and associated details will be retained for six years then destroyed.
For employees and office holders
The personal data we process can include names and contact details, education or employment details, invoices and expense payments and visual images of people.
We collect this information to enable the church to manage your employment and comply with associated legal requirements, to reimburse church-related expenses and (for images) to display current church staff/office holders e.g. on the web site.
Data Protection legislation allows us to process this information as we regard it as being in the church’s legitimate interest.
If you serve Ruddington Baptist Church as a member of staff or in a key role then we will pass on your name and contact details to the Baptist Union of Great Britain and/or the East Midlands Baptist Association (of which we are members) to enable them to send you information relevant to your role. We will always ensure you are aware of what information is being shared with them and you will be able to decide which contact details are shared.
General
You have the right to ask to see any information we hold about you (including the pastoral support information) by submitting a ‘Subject Access Request’ to the Church Secretary. You also have the right to ask for information which you believe to be incorrect to be rectified.
